Backup & Disaster Recovery Policy

1. Introduction
This Backup & Disaster Recovery Policy outlines KFN Media’s approach to protecting business and client data, maintaining service continuity, and recovering systems following unexpected events. This Policy applies to services provided by KFN Media where backup or disaster recovery services are included as part of a client agreement.
2. Purpose
The purpose of this Policy is to establish procedures and responsibilities for data backup, disaster recovery, and business continuity while reducing the risk of data loss, prolonged service interruptions, and operational disruption.
3. Scope
This Policy applies to systems, applications, websites, cloud infrastructure, managed services, and hosted environments operated or managed by KFN Media under an active service agreement.
4. Backup Strategy
Where backup services are included, KFN Media implements commercially reasonable backup procedures appropriate to the services provided. Backup methods may include automated scheduled backups, encrypted storage, redundant storage locations, and verification of backup integrity where practical. Backup frequency and retention periods may vary depending on the specific service plan or contractual agreement.
5. Backup Storage
Backups may be stored using secure cloud infrastructure, encrypted storage solutions, geographically separated locations, or other appropriate storage technologies designed to improve resilience and reduce the risk of data loss.
6. Backup Retention
Backup retention periods depend on the applicable service plan, contractual agreement, legal requirements, and operational needs. Expired backups may be permanently deleted in accordance with internal retention schedules.
7. Disaster Recovery
KFN Media maintains procedures intended to restore affected services following significant operational incidents, including but not limited to:
- Infrastructure failures
- Hardware failures
- Software failures
- Cybersecurity incidents
- Data corruption
- Cloud platform disruptions
- Natural disasters
- Other unforeseen operational events
Recovery procedures are prioritised based on the severity and business impact of the incident.
8. Recovery Objectives
Recovery objectives depend on the affected services, available infrastructure, third-party providers, and contractual commitments. Unless otherwise agreed in writing, recovery targets are operational objectives only and do not constitute guaranteed recovery times or service levels.
9. Client Responsibilities
Clients remain responsible for:
- Maintaining independent copies of critical business information unless backup services are expressly included.
- Verifying the accuracy and completeness of their own data.
- Reporting suspected data loss as soon as reasonably possible.
- Maintaining secure access credentials and system security.
10. Third-Party Infrastructure
Many backup and recovery processes rely on third-party infrastructure providers, cloud platforms, software vendors, and communication services. KFN Media is not responsible for delays, failures, or limitations caused by third-party providers that are outside our reasonable control.
11. Security of Backups
Where applicable, backups are protected using appropriate technical and organisational security measures, including encryption, restricted access, authentication controls, and secure storage practices.
12. Testing
Where practical, backup and disaster recovery procedures may be periodically reviewed and tested to improve reliability, identify weaknesses, and support operational resilience.
13. Data Recovery Requests
Recovery requests will be handled according to the applicable service agreement and technical feasibility. Restoration of deleted or lost data cannot be guaranteed in every circumstance. Additional charges may apply for recovery services outside the scope of the client’s support or hosting agreement.
14. Limitations
Although KFN Media implements reasonable backup and recovery practices, no backup solution can guarantee complete protection against all forms of data loss, corruption, cyber incidents, or catastrophic failures. Clients acknowledge that maintaining independent copies of business-critical information is considered best practice.
15. Policy Updates
KFN Media may update this Backup & Disaster Recovery Policy from time to time to reflect changes in technology, operational practices, legal requirements, or service offerings.
